What is an AI chatbot

An AI chatbot is a conversational software application that uses artificial intelligence to interpret what a user says and give a relevant response. Some chatbots are intent-based and pick from a set of approved answers. Others are generative, creating responses on the fly with large language models and enterprise information.

How AI chatbots work

  1. The chatbot receives a customer message.
  2. It interprets the intent, key details, and context.
  3. It retrieves relevant knowledge or customer data.
  4. It generates a response or selects one.
  5. If action is needed, it calls an approved workflow.
  6. It confirms the result or asks a clarifying question.
  7. It escalates to a human when necessary.

AI chatbot vs. rules-based chatbot

A rules-based chatbot follows scripts or menus. It has limited context, gives fixed responses, and has few ways to handle a failure. If a customer words something unexpectedly, it often gets stuck.

An AI chatbot understands a much wider range of phrasing and can use the context of the conversation. It can generate responses grounded in trusted sources, and when it misunderstands, it can ask for clarification and recover.
